Please note that to make a booking, a copy of the TERMS & CONDITIONS OF HIRE & USE must be signed and returned to the venue. A link to a downloadable pdf of these is provided at the end of this section for this purpose.

The following are the terms and conditions in relation to the hire and use of Bateman’s Barn ‘the venue or premises’ at South Elmham Hall, St Cross, Harleston, Norfolk, IP20 0PY. If you have any questions about our Terms & Conditions, please give us a call. Thank you.

Booking

A booking is not confirmed until the deposit has been paid. A provisional booking will be held for 14 days without obligation.

Deposit & Confirmation

To confirm your booking, we require - a completed booking form; the date and confirmation that you have booked a registrar or church; the payment of a deposit of £1,500.

Any venue deposit paid to secure your wedding at Bateman’s Barn will also secure daytime catering services with Funnells Kitchen (when arranged at the time of booking). Any balance payments for this in-house catering should be made directly to Funnells Kitchen.  

COVID-19

Clients and their invited guests including suppliers MUST comply with any and ALL Government restrictions in place at the time of the event. The venue will work closely with its recommended suppliers and any other suppliers to offer a COVID-secure venue. The venue accepts no liability to changes made to the event due to Government restrictions.

Data Protection

We store your data recorded on your booking form for as long as is necessary to deliver our services to you and meet any legal obligations for financial record keeping. We do not sell or share your data with any other third party and once your event is complete, we remove and destroy your data from our system.

Cancellation

If you need to cancel your wedding with us, the venue, you must inform us either via email or in writing. If you have booked for a ceremony at our venue you If you need to cancel your wedding with us, the venue, you must inform us either via email or in writing. If you have booked for a ceremony at our venue you must show either via email or in writing, that you have cancelled the registrars for our venue.  

Your deposit will be returned - less any real cost for work which Bateman’s Barn or Funnells Kitchen carry out at your request in planning or getting ready for your wedding day. This will be charged by the hour, at a rate of £25 per hour and will include - but not be exclusive to - face-to-face meetings; food tastings; all correspondence and research; physical work carried out at the venue in preparation for your wedding.

Damages

The client shall be held responsible for any damages to the barn, B&B rooms, grounds, furnishings or equipment caused by guests of the client and shall pay to the venue on demand the amount required to make good or remedy such damage. A refundable £300 damage deposit is required and will be held to cover such damage. This will be included in the final invoice and will be returned to you after the event.
We are concerned for your health and safety and that of our venue. Please note that permission must be obtained from the venue owners if you wish to fix items to the walls, floors or ceilings.

General Liability

We do not accept liability for any failure to provide the services contracted which are due to circumstances beyond our control, including global pandemics; change in Government-led COVID-19 restrictions; industrial action; postal communication; flooding, storm, inclement weather; supply of electricity and water or fire alarm evacuation.

Outside Services

Prior consent of the venue must be sought for any entertainment/decoration or services contracted from external suppliers for the event by the client. These must comply with statutory regulations.

Hired Services or Equipment

(eg. bouncy castles, garden games, fireworks, chocolate /champagne cascades and wedding cakes etc.) The venue accepts NO responsibility for goods or services which the client hires in for their event. It is the client’s responsibility to ensure that goods or services such as those listed above conform to the current Environmental Health and Safety Regulations. The venue and its staff accept no liability for injury or illness caused by use of such goods or services. The service provider or client must provide a responsible or trained person to supervise such equipment or services where necessary.

Final numbers

Final numbers must be confirmed ONE month prior to your function.

Final payment

Full payment is due 14 days prior to the wedding/event. In the case of non-payment or partial payment, you will not be allowed access to the venue.

Payment: non-venue services

If you have asked us, the venue, to provide items or services which we have to obtain from an outside supplier (such as cakes, flowers, hog-roasts or entertainment etc.) the charge will appear on your invoice. If you arrange any items directly with a supplier, it is your responsibility to settle the account with them.

Price reviews

Food and drink prices are subject to an annual review post budget on 1st April. 

Miscellaneous

Clients are required to make sure the following information appears clearly on the event invitations: ‘No metal-tipped stiletto shoes’ * ‘Biodegradable Confetti Only’  (* Shoes with a metal-tipped heels damage our oak dance floor. Rubber-tipped heels are permitted.)

Accommodation

Only specified paying guests are permitted in the Hall. No other guests, members of the bridal party or suppliers - with the exception of hair/ make-up artists and photographers - may have access at any time, unless attending to the bride and with agreed prior permission with the owners.

Etiquette

The venue reserves the right to judge acceptable levels of behaviour of the client, guests or representatives. The client must take all steps necessary for corrective action of abusive, dangerous or damaging behaviour. In the event of failure to comply with venue’s requests, the venue reserves the right to terminate the contract and stop the event without liabilities to any refund or compensation.

Drink

Only drink purchased or arranged through the venue as part of your wedding may be consumed on our premises. (Except food for babies or small children). We reserve the right to charge a corkage fee on any drinks not purchased on site. Alternatively, such drinks may be confiscated, to be returned at midnight. If neither of these solutions is acceptable to the guests, we will ask them to vacate our premises.

At Bateman's Barn we are privileged to work with a wonderful network of local - and at times, slightly less than local – suppliers who share our values and deliver unique, first class service to our wedding couples.

We have developed an enhanced way of collaborative working that’s more than just a list of recommended suppliers. We’ve called it the Waveney Wedding Collective. Please note that the following information is intended for and to support our respected suppliers. It outlines the benefits of participating in this collaborative venture. It is followed by a quick FAQ section.

Benefits 

Our respected suppliers are invited to join us in the spirit of co-operation. We are bringing together like-minded small and primarily local businesses to benefit from cross-selling and promoting their services.

There are no fees involved. There is no demand for exclusivity. There is no catch.

It’s all about joined up thinking – to reap more from what we all sow, and give the very best local offering to potential wedding and event clients.  

Exhibition Promotion

Free space to promote your business and talk directly with potential wedding clients at our Waveney Wedding Collective wedding fair / open day opportunities as appropriate. 

Fairs and events are open to guests invited by your business and other members of the cooperative, plus the general public. Entry is always free of charge. Activities are supported by promotion and PR.   

Print promotion - distribution

  • Inclusion in printed supplier list given all year round to all prospective wedding clients of Bateman’s Barn South Elmham.  
  • Display and distribution of your business’ printed business cards / flyers at Bateman’s Barn South Elmham general open day events and at all client viewing.  

Online – web coverage

Your business will receive an entry amongst other suppliers from the Collective in a dedicated section of this website, a highly respected, significantly visited and strongly optimised website. This includes:

  • 100 -120 words of promotional copy (to be supplied)
  • Photo (to be supplied )
  • Contact details of your business – tel / email   
  • A link to your website (This is in return for a reciprocal link and will be put in place and activated only once you have a proven link from your website to www.batemansbarnweddings.co.uk

The Bateman’s Barn team are active on social media including facebook and Instagram.

FAQs

The Waveney Wedding Collective is the development of the tried, tested and respected local (& sometimes beyond) supplier network of Bateman’s Barn, South Elmham, a wedding and events venue at South Elmham in the Waveney Valley. The venue’s network has been built up over more than 20 years and directors, John & Nicole Sanderson, have a strong ethos in working with and for the good of the community. 

Just a few questions answered...

Do I have to attend WWC wedding fairs and events?

We are the first to appreciate that many of our respected local suppliers are very small enterprises or even one man / woman bands, and that marketing is just another thing on an already very challenging ‘to do’ list!

  • Our aim is to make things as easy as possible for you and as interesting and useful to our mutual clients.
  • Our events will all take place locally, in the Waveney Valley.
  • Dates will be shared with you as early as possible.
  • Your exhibition or promotional space will be without charge – the only cost to you is your time.

It is an opportunity to win business as well as network with other trusted wedding suppliers.

Surely that makes it all worth inking it in to the diary?

What if I really want to attend an event, but simply can’t make a particular date?

Clearly your business will benefit from events the most if you can meet potential clients personally, but we all know that life conspires at times. If you really can’t make a date, give us a call and well arrange for your promotional materials to be displayed on a generic suppliers table – and of course, your colleagues in the Collective will be able to put in a good word for you as you would do for them in similar circumstances.    

What if I no longer wish for my business to be included?

We think that there are rewards to be reaped by everyone in the collective formula, but if you give it a go and find that it doesn’t suit you, then get in touch with Nicole. We’ll welcome any feedback of course – we’re all learning – so just give us a call or email. 

What if key elements / contact in my business change?

We’d ask you to let us know as soon as possible, so we can make amendments to any promotional coverage accordingly. Probably best just to give us a call and talk things through. 

Is there any element of exclusivity in the Waveney Wedding Collective?

Absolutely not. There is no intention to tie any business in to any exclusive relationship. We appreciate that small businesses need flexibility – that’s a selling point – we believe that there is a real positive in working together in a respected open partnership.

Can any business join?

Clearly there’s a need to get the balance of businesses right, so that the offering to potential clients is interesting, relevant and not over-powering in any way – and so that the cooperation works for its participants.

We have currently based invitations to join the Collective on our experiences of working with a cross-supportive and constantly evolving network of local – and sometimes less than local – suppliers. It’s early days, but we’re sure to be interested in including other businesses which we hear about through the Collective’s network, should they meet criteria and share our values.

Can I write my own text about my business for the web entry etc?

Yes, of course – it’s up to you what you say about your business of course. We do however reserve the right to retain editorial control across our sites – it is in everyone’s interest for the coverage of the businesses in the Collective to be appropriate and fair.
